Art Show Equipment & Booth Setup Essentials
After doing 200+ California art shows and festivals, I have learned that a beautiful booth is only part of the equation. The right equipment can make setup easier, protect your body, improve customer comfort, and help you feel more prepared.
This guide shares the booth setup items I personally rely on — from my dolly and portable Wi-Fi to fans, tent weights, mats, bins, and comfort essentials.
Why Equipment Matters More Than You Think
When you are selling handmade work in person, your booth becomes your temporary shop, storage room, checkout counter, shade structure, workspace, and resting place. Good equipment saves time, reduces stress, and helps your booth look more professional.
Invest in a High-Quality Dolly

Prepare for Long Days Outside

A rechargeable fan is a must for hot summer shows. I use larger battery-operated fans and smaller clip-on fans that work with DeWalt-style battery packs.

Comfortable Chair & Seat Cushion
A good seat cushion can make a huge difference during long show days and driving time. I use an orthopedic coccyx cushion and keep extras in my studio and vehicles.

Padded Floor Mats
Standing on pavement for hours is hard on the body. Rubber or padded floor mats can help reduce strain during long outdoor shows.

Always Use Heavy Tent Weights
No matter how calm the weather looks, strong tent weights are essential. Lightweight tents without proper weights can blow away and become dangerous.
- I use four heavy sandbag-style weights.
- Weights help stabilize the tent throughout the day.
- They are especially important during wind gusts and changing weather.
- This is one area where cutting corners is not worth it.
Keep the Booth Clean, Functional, and Easy to Shop
A professional booth does not have to be complicated. Start with stable tables, clean table coverings, lightweight product displays, and storage that keeps the booth organized.
Storage Bins
Durable bins matter. Cheap bins can crack, break, and make packing harder. I prefer sturdy bins that can handle repeated loading, unloading, and transport.
Collapsible Tables
Collapsible tables are practical for transport and setup. Pair them with clean table coverings so your booth looks intentional and polished.
Lightweight Displays
Lightweight displays make setup easier and help prevent overpacking. Choose display pieces that support your work without overwhelming it.
Cooler & Hydration
A reliable cooler is helpful for long outdoor shows. Bring water, snacks, and anything you need to stay hydrated and steady throughout the day.

The best booth setup is the one you can actually manage. Every artist has different products, vehicle space, physical needs, and show routines. Start with the essentials, then improve your system over time.
Packing, display, checkout, comfort, weather, safety, and food all need their own plan.
A good dolly and organized bins can save a lot of time and energy during setup and breakdown.
